Terms and Conditions / Booking Terms

These Terms and Conditions govern all quotations, enquiries, reservations, bookings, payments, amendments, cancellations, refunds, and travel-related services provided by DBD TRAVEL (“DBD Travel”, “we”, “us”, “our”).

By requesting a quotation, making a booking, paying a deposit, paying any amount toward a booking, or making use of any travel service arranged by us, you confirm that you have read, understood, and accepted these Terms and Conditions. If a booking is made on behalf of more than one traveller, the person making the booking warrants that they have the authority to accept these Terms and Conditions on behalf of all travellers on the booking.

1. Our Role

DBD Travel acts as a travel consultant, organiser, intermediary, and/or booking agent for travel-related products and services, which may include flights, accommodation, transfers, tours, cruises, car hire, excursions, activities, travel insurance, and other related services.

Unless expressly stated otherwise in writing, all such products and services are provided by independent third-party suppliers, including airlines, accommodation providers, transport operators, tour operators, destination management companies, insurers, and other service providers.

2. Quotations

All quotations are subject to availability at the time of confirmation.

A quotation does not constitute a confirmed booking and does not guarantee the availability of any fare, seat, room, package, service, or travel arrangement unless expressly confirmed in writing.

All quoted prices are subject to change prior to confirmation due to factors beyond our control, including supplier price increases, airfare changes, exchange rate fluctuations, taxes, levies, fuel surcharges, government charges, and changes in availability.

A quotation becomes binding only once the booking has been confirmed by us in writing and the required deposit or payment has been received and cleared.

3. Bookings and Confirmation

A booking will only be regarded as confirmed once:

  • we have received your acceptance of the quotation or booking
  • any required deposit or payment has been received and cleared
  • the booking has been accepted by the relevant supplier
  • written confirmation has been issued by us

It is your responsibility to check all booking documents immediately upon receipt, including names, dates, destinations, travel arrangements, pricing, and any other booking details. Any error or discrepancy must be reported to us without delay.

4. Deposits and Payment

A deposit may be required in order to secure a booking. The required deposit amount and payment deadlines will be communicated in writing.

Unless otherwise stated in writing:

  • deposits are payable immediately once requested
  • final payment must be made on or before the due date provided
  • failure to make payment by the due date may result in the cancellation of the booking
  • cancellation charges may apply where payment is not received on time

Certain bookings, including promotional fares, special offers, peak-season bookings, group bookings, and selected supplier reservations, may be non-refundable or subject to stricter payment terms. Where this applies, it will be communicated to you during the booking process.

5. Prices and Exclusions

Unless expressly stated otherwise, quoted prices may exclude:

  • visa fees
  • passport costs
  • travel insurance
  • vaccinations and health-related costs
  • baggage fees
  • seat selection fees
  • tourism levies, city taxes, or resort fees
  • optional excursions and activities
  • gratuities
  • border fees
  • spending money
  • personal expenses
  • costs arising from delays, disruptions, missed connections, or circumstances beyond our control

You remain responsible for all such additional costs unless specifically included in your quotation or invoice.

6. Changes to Price Before Travel

If a supplier increases its price, taxes, levies, surcharges, or other charges before travel, we reserve the right to pass such increases on to you.

We will use reasonable efforts to inform you of any material increase as soon as possible after we become aware of it.

7. Amendments Requested by You

Any request to amend a confirmed booking must be made in writing.

We will use reasonable efforts to assist with requested amendments, but no amendment can be guaranteed. Amendments may include changes to names, dates, destinations, flights, accommodation, passenger numbers, rooming arrangements, or any other travel service.

Any amendment may result in:

  • an administration fee charged by us
  • amendment or reissue fees charged by the supplier
  • cancellation fees on the original booking
  • payment of any fare difference, rate difference, or additional charge

Certain bookings cannot be amended once confirmed and may need to be cancelled and rebooked.

8. Cancellations by You

If you wish to cancel a booking, notice of cancellation must be submitted in writing.

Cancellation charges may apply and will depend on the type of booking, the relevant supplier’s terms and conditions, the timing of the cancellation, and any costs already incurred.

Where a booking is cancelled:

  • we may charge a reasonable administration fee
  • suppliers may charge cancellation penalties
  • deposits may be partially or fully non-refundable
  • certain bookings may be fully non-refundable from the date of confirmation

The closer the cancellation is to the date of travel, the higher the cancellation charges are likely to be.

9. Refunds

Any refund is subject to the terms and conditions of the relevant supplier and any costs already incurred.

Refunds may be reduced by:

  • non-refundable deposits
  • supplier cancellation penalties
  • administrative fees
  • charges already paid or committed on your behalf
  • non-refundable fare components, taxes, or service fees

Where a refund is approved, it will only be processed once the supplier has authorised and released the refundable amount, where applicable.

DBD Travel does not guarantee that any amount paid will be refundable.

Refund processing times may vary depending on the supplier, airline, bank, payment provider, or card issuer involved.

10. Changes or Cancellations by Suppliers

Suppliers may change, delay, suspend, overbook, withdraw, or cancel travel services at any time. This may affect flights, accommodation, transfers, tours, itineraries, departures, or other travel arrangements.

Where a supplier makes a change or cancellation, we will use reasonable efforts to notify you and to communicate any alternatives, credits, rebooking options, or refunds made available by that supplier.

Unless caused by our own negligence or wilful misconduct, we shall not be liable for any loss, damage, delay, inconvenience, cost, or expense arising from any act or omission of a third-party supplier.

11. Passports, Visas, Travel Documents, and Health Requirements

It is your sole responsibility to ensure that all travellers hold the required and valid travel documents for the entire journey.

This includes, where applicable:

  • a valid passport
  • sufficient passport validity
  • blank passport pages
  • valid visas
  • transit visas
  • parental consent documents for minors
  • vaccination certificates
  • health declarations
  • any other required entry, exit, or transit documents

Any information or guidance provided by us regarding travel documentation is given in good faith for general assistance only. You remain responsible for verifying all requirements with the relevant embassy, consulate, airline, immigration authority, or official body before travel.

If travel is delayed, refused, cancelled, or disrupted because of incorrect, incomplete, expired, or missing documentation, DBD Travel accepts no liability for any resulting loss or cost.

12. Travel Insurance

Comprehensive travel insurance is strongly recommended for all travellers.

Travel insurance should ideally cover, where applicable:

  • cancellation
  • curtailment
  • medical emergencies
  • emergency evacuation
  • baggage loss or delay
  • travel delays
  • missed departures
  • personal liability

If you choose to travel without adequate travel insurance, you do so entirely at your own risk.

13. Supplier Liability and Limitation of Liability

As many travel services are provided by independent third-party suppliers, those services are subject to the supplier’s own terms, conditions, carriage rules, and liability limitations.

To the fullest extent permitted by law, DBD Travel shall not be liable for any loss, damage, injury, illness, death, delay, expense, inconvenience, or disappointment arising from:

  • the act or omission of any third-party supplier
  • overbooking, delay, rescheduling, or cancellation by a supplier
  • lost or damaged baggage
  • failure of transport, accommodation, or any booked service
  • denial of boarding, entry, or travel
  • any circumstance beyond our reasonable control

DBD Travel shall not be liable for indirect, incidental, special, or consequential loss, including loss of income, loss of opportunity, or loss of enjoyment.

Nothing in these Terms and Conditions excludes any rights that cannot lawfully be excluded under applicable law.

14. Force Majeure

DBD Travel shall not be liable for any failure, delay, disruption, cancellation, amendment, or inability to perform any obligation where such failure or delay is caused directly or indirectly by events beyond our reasonable control.

Such events may include, but are not limited to:

  • acts of God
  • severe weather
  • natural disasters
  • flood
  • fire
  • war
  • terrorism
  • riot
  • civil unrest
  • labour disputes
  • strikes
  • epidemic or pandemic
  • government action
  • border closures
  • travel advisories
  • airport closures
  • airline grounding
  • supplier failure
  • power outages
  • systems failures
  • interruption of transport or essential services

In such circumstances, any refund, credit, postponement, rebooking, or alternative arrangement will remain subject to the terms imposed by the relevant supplier and any irrecoverable costs already incurred.

15. No-Shows and Unused Services

No refund will necessarily be due in respect of any unused ticket, hotel night, transfer, excursion, meal, tour, activity, or other service where:

  • you fail to travel
  • you arrive late
  • you fail to check in on time
  • you are denied boarding or entry
  • you choose not to use a booked service
  • part of the booking remains unused for any reason

Any refund in such cases will be strictly subject to the supplier’s rules and conditions.

16. Traveller Conduct

All travellers are responsible for complying with the laws, regulations, rules, and reasonable instructions of all relevant authorities and suppliers, including airlines, hotels, transport providers, and tour operators.

If your conduct results in refusal of carriage, denied check-in, denied entry, removal from a service, damage, fines, penalties, or additional costs, you will be responsible for all resulting consequences and expenses.

17. Special Requests

Any special request, including dietary requirements, bedding preferences, accessibility requirements, seat preferences, adjoining rooms, early check-in, or late check-out, must be submitted in writing.

We will pass such requests on to the relevant supplier where possible, but no special request is guaranteed unless expressly confirmed in writing by the supplier.

18. Complaints

If you experience any problem during your travel, you must notify the relevant supplier immediately and advise us as soon as reasonably possible so that an opportunity exists to address the issue.

If a complaint is raised only after completion of travel, this may limit the remedies available.

All post-travel complaints must be submitted in writing to us, together with relevant supporting documents, within [7 / 14 / 30] days of the end of your travel.

19. Personal Information

We may collect and process personal information necessary to provide quotations, make bookings, issue travel documentation, liaise with suppliers, process payments, and communicate with you regarding your travel arrangements.

Your personal information will be handled in accordance with our Privacy Policy and applicable South African law.

By making a booking, you consent to us sharing the information reasonably necessary to process and manage your booking with the relevant suppliers and service providers.

20. Governing Law and Jurisdiction

These Terms and Conditions are governed by the laws of the Republic of South Africa.

Any dispute arising from or in connection with these Terms and Conditions shall be subject to the jurisdiction of the South African courts, unless otherwise required by law.

21. Severability

If any provision of these Terms and Conditions is found to be invalid, unlawful, or unenforceable, that provision shall be severed from the remaining provisions, which shall continue in full force and effect.

22. Amendments to These Terms

We reserve the right to amend or update these Terms and Conditions from time to time.

The version published on our website at the time of a new booking or transaction will apply, unless otherwise agreed in writing.
